Friday 20th March 2015 

Present: Catherine, Tom, Bobbi, Fraaz, Wayne and Cameron

Absent: Kini, Phil and Mike

Meeting Minutes: Cat 

Meeting started at 12:12pm

Tom: Did everyone like the venue? 

Everyone: Yes we did 

Tom: We need to arrange a list of equipment and arrange van hire so we can speak to bredon about funding 

In 2 weeks time on a Tuesday we need to pay the rest of the deposit for the venue 

Cat: Also everyone needs to send over there work to Elena with our storyboards, idea and full name

Tom: Advertising 

Cam: Could advertise in the newspaper 

Wayne: Can we put poster up in the college  

Bobbi: We could do but it will have to be advertised for the 13th May 

Tom and Cameron: By today we need list of equipment 

Bobbi: I need a TV 

Cat: Me too, I have a HDMI cable already 

Wayne and Fraaz: We need projectors and speakers 

Wayne: Myself and Tom will be creating the book but we need a  guest book 

Bobbi: Can create business cards 

Tom: Advertising we can do with the help from Elena advertising our exhibition 

Rob: Someone needs to take responsibility for guest invites

Bobbi: I am doing Blog and Budget 

Tom: Is Fraaz able to do the logo still ? 

Fraaz: Yes I can 

Rob: Are you going to use the college logo? if so you will need to ask permission 

Tom: Cat could do the guest list or Phil 

Bobbi: Invites RSVP so we know who is going, tick off the names from the list for the first night 

Wayne: Book - Everyone gets 2 pages then we will talk about us as a group and the exhibition

Bobbi: Small paragraphs about ourselves 

Rob: Map, cleaning, decorating, floor plan 

Fraaz: I can get pictures of you all and place them on the logo as the choc chips 

Cat: I like that idea I think it could work 

Bobbi: Can get cookie badges 

Rob: You can get fridge magnets of biscuits and add a pin 

Tom: Van hire needs to be sorted and the van will need to be parked down the next street. Phil can you drive the van 

Phil: Yes 

Wayne: Kini is looking at van hire 

Phil: You are looking at £60 a day plus the deposit of £200 and also you will need it 3 days as the shop will be closed by the time we finish exhibition 

Tom: Catherine can talk to Brendon about the van and equipment and see if we can get help with funding

Cat: Yes that is fine I can do that 

Also what about the food, would it be an idea to get myself and Bobbi to do it as it makes sense as Bobbi has a car 

Tom: Yes please

Rob: Food needs to be sealed and fresh as you do not want it to come back on you if someone gets food poisoning. Food must be kept fresh in the fridge also buy the food the day before. 

Tom: Need cheaper items and tables we can get from the college 

Bobbi: Doing a price list for the food now 

Phil: Check to see if you need an events alcohol licence

The venue is big enough for everyone to fit in with 4 of us upstairs and 5 downstairs

Everyone is happy with this venue and we are all going to go to the venue, Mike and Tom will do a recce.

There isn't anywhere to park for the van to unload, unless we park in the bays down the road

- Mike and Tom maybe showing their Experimental

-Wayne, Cat and Fraaz is Projecting

- Need tables

- Open in the evenings till 10:30

Cameron: The lady at the venue said she is willing to advertise for us on media linked in, there's am ad that will go in the paper. 
We have not paid but I have a copy of the contract which I will send to everyone 

Fraaz: What do you think? 

Bobbi: Looks pretty good, was that an alarm system as well?

Fraaz: I asked her if she has security and she said yes

Bobbi: Cool so it's good then? What did you guys think was it big? 

Fraaz: Ask Cam 

Tom: It looks small

Mike: Its over two floors

Cat: Will we get the two floors? 

Fraaz: Yes we will get both the floors one is a normal round and one underground 

Cat: Did you get pictures? 

Fraaz: Yeah we did 

Cat: Well done Fraaz and Cameron for visiting the venue 

Mike: I think it's perfect for what we want and well done you two 

Cat: We must decide on a venue. Majority vote who likes this venue? 

Wayne: Cheers guys and yeah I agree

Mike: Me 

Bobbi: I'm game for it 

Cat: Do you like it Fraaz? 

Fraaz: Yeah I like it, perfect size for us 

Bobbi: I think if we like it we need to email asap as there were other parties interested

Mike: Then in that case we should snap it up quickly 

Fraaz: Yep I can pay the deposit if you all agree 

Cat: We need to ask Tom, Kini and Phil

Wayne: Tom do you agree? 

Catherine: How much is it again?

Wayne: Kini liked what we showed him yesterday 

Cameron: £350.00 and the lady has mine, Bobbi's and Mikes details to contact us

Mike: £350 deposit 

Fraaz: I can pay that. How many people to split the money by?

Catherine: There is 9 of us all together 

Mike: If you do, I can give you the money tomorrow Fraaz

Cat: Yeah I can pay tomorrow too 

Cameron: She will also make flyers, advertise in her linked in, other social media and the local news paper

Bobbi: That is about £38.90 each 

Fraaz: We will talk about the payment tomorrow 

Cameron: I will scan and share the contract in 2 hours

Wayne: Before everyone starts paying Tom do you agree? 

Cat: Ask in the Facebook group for Kini and Phil too 

Fraaz: It will be the majority vote 

Tom: I do not mind I am worried it will be too small 

Cameron: How much space do you need tom? 

Cat: Can we put up boards or booths?

Fraaz: It has a security alarm 

Cameron: I forgot to ask 

Fraaz: I can text the lady and ask 

Tom: I should be ok Cameron 

Cat: Meeting minutes are up 

Fraaz: She wants photos 

Cameron: Just sent the contract via Facebook

Cat: Ok let me find some images

Cameron: 12-7 but i think she said that it can be open till later as well

Attendance: Catherine, Michael, Kini, Fraaz, Bobbi, Wayne and Cameron

Start: 3:42pm 

Kini: We need to make a decision on the venue

Katie: Tell Phil and Tom about the deadline on Friday 

Kini: Has anyone phoned the venues? 

Katie: Can use headphones to plug into the work 

Kini: Cat what do you think?

Cat: I am just worried about the venue Bobbi looked at because of the other group will people visiting make to much noise for them? and I am worried about the space.

Bobbi: Showed us another venue which is £500.00 in Camden. 

Bobbi: She also showed us images from the Anise Gallery 

Mike: I looked at 15 Bateman street - Looks nice but is £4000.00
- Bricklane gallery is £2000.00
- Rag Factory in the apricot hall for 2 days is £400.00 and they remember last years group

Cameron and Kini: We need to choose a venue from the three

Kini: Camden marketing sounds good

Cat: I agree it sounds good, the images look great, the price is good and the fact they can market for us too is amazing.

Mike: How do they do the marketing?

Bobbi: There is a time scale for the venue so we need to book fast and the marketing we give them details and they will work there magic.

Mike and Wayne: So it is between the Rag Factory and the Camden venues

Katie: You have picked great venues, the Rag factory is good inside but not pleasing to the eyes on the outside. 

Cameron: Google Camden venue 

Kini and Mike: Its a good area and near to the station too

Fraaz: Its not far a 2-3 minute walk and I know the area and it seems the better venue

Fraaz: Is it inside of the congestion charge?

Phil: Check because if it is then you need to pay that in advance for the van holding the equipment

Mike: Who likes which venue?

Camden Image Gallery has four rooms all with light walnut laminate flooring and clean white walls, perfect for displaying artwork; one large and one small room on the ground floor, and one large and one small room in the basement (see floor plan for further details).
The large room on the ground floor is fitted with a sophisticated, fully adjustable halogen lighting track system. The small room on the ground floor and rooms in the basement are fitted with adjustable LED spotlights, great for sculpture and instalations. All 4 rooms have a fully adjustable hanging system with a variety of different lengths of rods to suit any art work.
The gallery has a toilet and a small kitchenette stocked with a fridge, tea making facilities, wine glasses and canape serving platters.
Wireless internet is available for the duration of the hire of the gallery. Exhibitions will be fully invigilated and instillation and curatorial help and advice is available if the individual would like it. The gallery is also available for other events, such as performance evenings, book launches, and poetry readings.

meeting minutes friday 27th February

Rob talked about the little time we have left and the urgency that we need to apply to the organisation of the project. There is just over two months to bring it all together. 
Rob: Have you got a venue yet?
Michael: The thing is, most of us like the gallery. However, Tom and Catherine are not keen on it.
Rob: What reason?
Michael: They didn't see it, so we gave them images and information.
Rob: We had a similar situation last year and the whole group went to see it, there were a couple of visits because one or two wanted to go somewhere else. There has to be negation here, if they don’t like it, have they suggested an alternative.  
Michael: No.
Rob: If people don’t like it.  I can see that it can be worth while investigating, but if they just are just going to say they don’t like something then that does not work or help.
Kini: We had a meeting online over half term and talked about it, we did discuss it.
Wayne: Yes we did. Us three were really happy. The main thing we need to focus on is asking Cat and Tom.
Rob: What don’t they like about it?
Michael: And I quote It’s too good to be true.
Wayne: But if they don’t go and see it then how can they tell.
Kini: We only have a limit amount of time.
Rob: What else, where’s the nearest tub station?
Bobbi: Tower Bridge.
Kini: For us to get there we would get a bus from Liverpool street, it didn’t take long at all.
KiniThat’s really good.
Rob: Are there access issues.
Kini: One of the problems was we will share with other people.
Bobbi: Yeah that’s the downside.
Kini: That’s the only issue I can see.
Rob: Why, that’s a good thing. I think doing joint exhibitions is a good thing. It will bring more people in.
Kini: To me I asked a lot of questions, and I couldn't see a problem, it’s a good price, it’s in central London.

Bobbi: You can’t use projectors, it’s too bright, and she said projectors would be an issue with the light.
Rob: Where does the light come in, does it come in from above?
Bobbi: From the windows.
Rob: So you can block it off with card, or black paper that you can put over the window, right.
Michael: They said there would be no problem with doing that.
Kini: So that was the only issue we got.
Wayne: Yes between the three of us.
Bobbi: What about booths
Rob: You can build booths we have the material.
Rob: What about power points.
Michael: Yeah there’s plenty at least six double sockets.
Wayne: Actions for next week. We should have a next meeting on Tuesday.

Write up blog Kini to write up minutes and to look into van and confirm the price. We will have another meeting on Tuesday to decide what we are going to do about the venue.
